Registration, including payment of fees, is necessary to attend congress events as well as to have an abstract accepted and published.

To ensure that your registration information is processed quickly and correctly, we request that you register using the online registration form. Your credit card and personal information will be protected from unauthorized access by an online security system (SSL).

The latest date for on-line registration will be July 1st, 2013. Any registration form received after this date will be processed on site at the congress venue with a 15% service fee.
Payments by bank transfer will be allowed until June 15, 2011. After this date only credit card payments can be accepted.

Proof of Registration

In case registration funds were sent late or, for some reason, were not credited to the Congress account at the time of registration, a photocopy of the receipt received will be required to obtain your entry badge. If no proof of payment can be presented, full payment will be required on site.

Cancellation policy
  • A cancellation fee of 25,00€ will be withheld if the refund is requested in writing before June 1st, 2013, and 50% of registration fees if before June 30th, 2013.
  • No refunds will be accepted if requested after July 1st, 2013.
  • All refunds will be finalized after the Congress.
  • A registered participant can transfer their registration to another person without penalties until July 1st, 2013. In this case, please inform the General Secretariat as soon as possible.
Official Language
The official language of the Congress is English.

Badges and Security
It is essential that you wear your personal badge at all times while in the symposium venue and during the social events because it is the official entrance pass to scientific sessions. For the social events, it will also be necessary to present the corresponding ticket.

Attendance Certificate
Attendance Certificates will be issued by the Secretariat and given to the registered participants.

Medical Assistance and Insurance
Participants are advised to make their own arrangements regarding travel insurance and medical assistance during the Congress. Neither ICVM/ISVM nor the Secretariat are able to accept any responsibility whatsoever for damage or injury to persons or their belongings during the Congress.

ACCOMMODATION

 There are three options for booking hotel room for the congress. First, you can book through the conference organizers.  The prices and room descriptions are below.  These hotel rooms are offered at special prices during the period of July 7 to July 12, 2013. All prices include breakfast and VAT. Participants are advised to book these rooms as early as possible, since rooms will be reserved on a first come/first served basis. Second, you may book rooms through the on-line aggregators such as Expedia, Travelocity and Bookings.com.  The ISVM does not endorse any of these in particular, but they offer some flexibility in bookings.  The third option is to book directly with the hotel.

The General Secretariat of the Symposium offers the participants of the ICVM 2013 hotel rooms at special prices during the period of July 7 to July 12, 2013.  Participants are advised to book rooms as early as possible, since rooms will be reserved on a first come/first served basis. All prices include breakfast and VAT.

The reservations will be confirmed upon reception of the total stay payment. No reservation will be guaranteed and processed without the payment. You will receive confirmation of the hotel booking indicating the name of the hotel and its address; the confirmation letter must be presented upon arrival at the hotel.

  • 100% payment in advance will be required in order to guarantee the reservation.
  • After June 1st 2013 the availability cannot be guaranteed.
  • Allotments at the Hotel are for the dates of the events (July 8-12, 2013). Previous days or late departure reservations are subject to hotel availability. Please contact with Grupo Pacifico or use the Special Offers for Accommodation link (see below) to book other hotels.
  • Special needs cannot be guaranteed, however Grupo Pacifico will do their best to honor all requests.
  • A confirmation letter will be sent once reservation is confirmed

Hotel Cancellation Policy:
  • Cancellations and/or changes should be made in writing exclusively to Grupo Pacifico.
  • No shows will be released automatically by the hotel at 09.00 AM on the following day, and the full payment will not be refundable. The hotel is enabled to charge the total amount of the whole stay.
  • Please note that all appropriate refunds will be made after the Congres
  • For the cancellations received before March 15th, 2013, there will be no cancellation charges less 50,00 Euros per room cancelled as handling fee.
  • Cancellations received between March 15th, 2013 and April 30th, 2013 will apply a cancellation fee of 50% of the total stay.
  • Any cancellation received after April 30th, 2013 will apply a cancellation fee of 100% of the total of the stay.
